Qbic Brussels Reservation Terms & Conditions

Booking Conditions (for public rates):

  • In case of no-show, the total price of the reservation will be charged. Euro
  • No refund or future credit will be applied in case of no-show or in case a reservation is cancelled (please see the individual cancellation policy for the room type you have booked).
  • If you will arrive one day late, you must advise us prior so we know to hold your room.
  • Smoking is not allowed, anyone who breaks this rule will be asked to leave and a room cleaning charge of €100 will be added to your final bill.
  • Please contact our reservations team directly for family bookings, twin or triple room requests.
  • Please make sure you bring the card you made your booking with to show our reception team on arrival, without this we will not be able to accept the booking

Check-In & Out:

  • Please note that our official check-in time is after 15h00.
  • If you arrive before we will of course store your luggage for you, and prepare your room as soon as it comes available.
  • If you arrive later than 24h00 could you please inform us prior, so we know to hold your room.
  • Our check-out time is before 11h00. You are kindly requested to vacate your room in time.
  • If you wish to have the room at your disposal after 11h00 on the day of departure, this can be requested subject to availability.
  • Please make sure you bring the card you made your booking with to show our reception team on arrival, without this we will not be able to accept the booking

Please be reminded that Qbic Hotels are non smoking areas.

  1. What Does This Notice Cover?

This Privacy Information explains how we use your personal data: how it is collected, how it is held, and how it is processed. It also explains your rights under the law relating to your personal data.

  1. How Do You Use My Personal Data?

Under the GDPR, we must always have a lawful basis for using personal data. This may be because the data is necessary for our performance of a contract with you, because you have consented to our use of your personal data, or because it is in our legitimate business interests to use it. Your personal data may be used for one of the following purposes:

  • Providing and managing your account and/or bookings
  • Supplying our services to you. Your personal details are required in order for us to enter into a contract with you.
  • Personalising and tailoring our services for you.
  • Communicating with you. This may include informational emails prior to your stay with us, as well as responding to emails or calls from you.
  • Supplying you with information by email that you have opted-in to (you may unsubscribe or opt-out at any time by clicking an unsubscribe link within the email or contacting us directly
  • Surveying you for your experience once you have left the hotel
  • Any relevant information during your stay

With your permission and/or where permitted by law, we may also use your personal data for marketing purposes, which may include contacting you by emailtelephonetext messageand/or post with information, news, and offers on our services. You will not be sent any unlawful marketing or spam. we will always work to fully protect your rights and comply with our obligations under the GDPR and the Privacy and Electronic Communications (EC Directive) Regulations 2003, and you will always have the opportunity to opt-out.

  1. How Long Will You Keep My Personal Data?

We will not keep your personal data for any longer than is necessary in light of the reason(s) for which it was first collected.

  1. How and Where Do You Store or Transfer My Personal Data?

We will only store or transfer your personal data within the European Economic Area (the “EEA”). The EEA consists of all EU member states, plus Norway, Iceland, and Liechtenstein. This means that your personal data will be fully protected under the GDPR or to equivalent standards by law.

We will respond to your subject access request within one month of receiving it. Normally, we aim to provide a complete response, including a copy of your personal data within that time. In some cases, however, particularly if your request is more complex, more time may be required up to a maximum of three months from the date we receive your request. You will be kept fully informed of our progress.
